This Privacy Policy explains how Ironwood Holdings, Inc. DBA The Cove Riverwalk Villas ('The Cove') collects, uses, and protects personal information provided through our direct booking systems, guest portal, and related services. This Policy applies to guests who book stays with us directly through our booking engine, as well as any individuals included in those bookings or using our property or docks.
1) Information We Collect
The Cove collects personal information necessary to manage reservations and provide safe, high-quality stays. This includes: name, email address, phone number, mailing address, credit card information, reason for stay, number of additional guests and their names, city or state of origin, celebration or occasion details, and whether it is your first visit to Wilmington or The Cove. We may also collect vehicle and license plate information through JotForm for parking registration.
2) How We Use Information
We use personal data to confirm reservations, manage guest services, process payments, provide customer support, and comply with local and state laws governing short-term rentals. We may also send transactional messages related to your booking, or optional marketing communications that you can opt out of at any time.
3) Third-Party Service Providers
To deliver our services, The Cove partners with trusted third-party processors, including Hostaway, SuiteOp, Stripe, Squarespace, JotForm, Google Analytics, and Pivot Parking. These partners process or store data under their own privacy terms or under agreements with The Cove. Pivot Parking only has access to information submitted for vehicle registration and parking management.
4) Cookies and Analytics
We use Google Analytics and related tools to measure site traffic and improve user experience. These tools may use cookies or anonymous identifiers to understand website usage patterns. No personally identifying information is stored or shared through analytics data.
5) Marketing Communications
The Cove occasionally sends promotional emails or newsletters about new experiences or updates. Each email includes an unsubscribe link allowing recipients to opt out at any time.
6) Data Retention and Security
We retain guest data as long as necessary to fulfill the purposes for which it was collected, including compliance with legal, accounting, and reporting obligations. The Cove uses commercially reasonable safeguards to protect personal data against loss, misuse, or unauthorized access.
7) Guest Rights
Guests may request to view, update, or delete their personal information by contacting info@thecovewilmington.com. We will verify and respond in accordance with applicable law. Withdrawal of consent may limit The Cove’s ability to deliver certain services.
8) Electronic Signatures; Consumer Disclosures
By agreeing electronically, you consent to the use of electronic signatures and records in accordance with the federal Electronic Signatures in Global and National Commerce Act (E-SIGN). You may request a paper copy by contacting The Cove. To access or retain electronic records, you must have an internet-enabled device capable of viewing PDF or Word files.
9) Updates
The Cove may update this Privacy Policy periodically. The effective date will be posted at the top of this document. Continued use of our booking platform after updates constitutes acceptance of the revised policy.
